CLIENT SERVICES ADMINISTRATOR – POSITION DESCRIPTION
TITLE
The title of this position shall be Client Services Administrator of LivingWell Medical Clinic (LWMC).
REPORTS TO AND EVALUATED BY
The Client Services Administrator (CSA) reports to the Client Services Director (CSD). The Client Services Administrator will be evaluated on an annual basis by the Client Services Director in both written and oral form.
OBJECTIVE OF THE POSITION
The Client Services Administrator objective is to provide professional and courteous service to clients and guests. The primary areas of responsibility will be greeting clients and guests when they enter the clinic, telephone management, maintaining the Scheduler in eKYROS, and assisting with administrative duties. This is a permanent, full-time position.

- Be a committed Christian who demonstrates a personal relationship with Jesus Christ as Savior and Lord
- Is faithful in attending a local church
- Exhibit strong commitment and dedication to the sanctity of human life at all stages
- Agree with and be willing to uphold the Statement of Faith, Statement of Principle, and policies of LWMC
- Exhibit strong skills in interpersonal communication, both verbal and written
- The ability to multi-task
- Ability to carry objects weighing 20 pounds up and down the outdoor stairway
- Ability to climb a ladder to change light bulbs and place items on high storage shelves
- The ability to respect and uphold confidentiality
- Detail oriented
- Must have computer skills and ability to maintain our patient database
RESPONSIBILITIES
GREETING CLIENTS AND GUESTS
- Greet each client or guest as they enter the clinic in a professional and courteous manner
- Instruct and assist clients in completing initial paperwork
- Assist guests with donations and staff appointments
TELEPHONE MANAGEMENT
- Become proficient with the clinic answering system
- Complete training for responding to callers seeking services
- Answer all incoming calls in a professional and courteous manner
- Route calls to the appropriate staff members
MAINTAINING SCHEDULER IN EKYROS (client database)
- Maintain the default settings for resources and categories in Scheduler
- Enter client appointments
- Consult with CSD and DN for schedule changes
ADMINISTRATIVE DUTIES
- Manage Google Voice text inbox
- Organize and maintain the client charts filing system
- Daily client data entry
- Assist Client Advocates with forms and clipboards
- Process mail
- Assist Administrative Assistant with weekly mailings and donor data entry
- Assist Administrative Assistant with facility care
- Assist CSD with chart reviews
- Assist DD with special mailing projects
- Assist all Directors with special projects
- Perform additional duties as may be deemed necessary by CEO
